ocean freight logistics procedures and the freight forwarding process

We hope you’ll continue taking steps toward positive change—and we’d love to be part of that journey with you.

Today, we’d like to share some insights on ocean freight logistics procedures and the freight forwarding process.

Better communication often begins with a better understanding of each other's roles and responsibilities.

At Elogis Group, we are a dedicated International Freight Forwarder, providing total logistics solutions for importers and exporters, and maximizing synergy through trusted partnerships.

🌊 Ocean Freight Export Process Overview

1. Export Contract & Order Confirmation

Once a trade contract is signed between the exporter and importer, the order for the goods is finalized.

2. Production & Preparation

The exporter manufactures the goods according to the order and prepares them for shipment.

3. Selection of Freight Forwarder

The exporter selects a forwarding company and entrusts them with ocean transportation.
At this stage, transportation terms, costs, and schedules are discussed.
The forwarder manages the full transportation plan—selecting optimal routes and modes of transport, and coordinating efficient shipping schedules.

4. Preparation of Shipping Documents

The freight forwarder books the vessel based on the required shipping schedule.
Suitable vessel and container options are chosen based on the cargo’s size, weight, and nature.

5. Export Declaration

The exporter submits the necessary export declaration to customs.
When this task is delegated to a forwarder, they handle document preparation and filing, and ensure compliance with customs requirements.
Typical documents include the Bill of Lading (B/L), Commercial Invoice, and Packing List.

6. Cargo Packing & Pickup

Once ready for export, the forwarder arranges pickup of the goods.
Professional packaging services are engaged—such as box packing or wooden crating—tailored to the cargo specifications.

7. Cargo Loading

The forwarder coordinates vessel booking, container arrangements, and cargo loading.
All related shipping documents (e.g., B/L) are prepared and finalized.

8. Shipping & Tracking

During transit, the forwarder monitors the cargo’s location and condition, and maintains communication with the client to ensure smooth delivery.

9. Arrival & Customs Clearance

Upon arrival at the destination port, the local partner forwarder receives the shipment and prepares for import customs clearance.
The importer or local forwarder handles the customs procedures in accordance with local regulations.

10. Delivery & Final Handover

Once customs clearance is completed, the goods are delivered via inland transport to the importer’s address, completing the logistics process.

🔍 Important Considerations

Throughout the process, various issues may arise.
That’s why a professional freight forwarder evaluates shipping options—whether by sea, air, or rail—to align with the exporter’s schedule.
Documentation, costs, and timelines may vary depending on the situation.

Once schedules are confirmed, relevant departments proceed with bookings and customs filings.

Many shippers entrust both forwarding and customs clearance to the forwarder, who assists with document preparation and coordinates with customs brokers for export/import declarations.
